Questions and answers
Frequently asked questions
Is COPS probation case management software for private providers or public agencies?
This page describes COPS for private probation companies and fee-funded misdemeanor supervision providers. It combines client and probation records, program attendance, supervision fees, documents, and reporting. It is not presented as a comprehensive public-agency probation, parole, jail, or detention system. Book a demo to review any additional agency-specific requirements.
Does COPS support probationer caseloads with officer assignment?
Yes. Each client record can carry a probation profile, the probation-officer directory supports assignment per client, and staff can be assigned to scheduled check-ins and classes. Court, judge, attorney, and referral-source fields keep case context with the record. Review your intake and handoff process during a demo.
How does COPS handle monthly supervision fees?
Fee schedules and fee types define recurring supervision fees, while balances and transaction history are tracked per client. Staff can process Stax card, ACH, and PayPal-invoice payments, including refunds. Fee-payment and payment reports support reconciliation; bring your fee schedule so we can review its setup with you.
Can probationers pay online themselves?
Yes. The client portal shows a client's balance and supports online card payment with payment history and printable receipts. Staff payment processing also supports ACH through Stax; do not assume that every staff payment method is available in client self-pay. Confirm portal access and plan options during your evaluation.
Can COPS track court-ordered conditions like classes and community service hours?
Yes. Program enrollments connect conditions to schedules and attendance, and custom fields can record community service hours and other details. Saved custom reports help review recorded conditions. When the drug-testing module is enabled for your program, results are recorded on the client profile. Staff remain responsible for recording and reviewing information against the court's requirements.
How are check-ins documented, and are missed-session alerts available?
COPS supports tri-state attendance, bulk roster marking, and kiosk signature check-in with a timestamped audit-trail note. Session notes and attendance exports provide additional documentation. Attendance reports surface absences and unmarked sessions for staff review, and COPS includes automated alerts and reminders.
What reporting can we provide courts and prosecutors?
COPS supports court/attorney reports, monthly reports with draft, finalize, PDF, and history workflows, statistical reports, and saved custom reports. Merge-tag templates generate client-specific court letters, with document history for generated documents. Bring a blank required report to a demo to review fields and formatting. Staff must check the resulting documents; COPS does not guarantee court acceptance or replace your reporting responsibilities.
What should we bring to a probation software demo?
Bring a de-identified intake form, a representative list of conditions, a supervision fee schedule, and a blank court-report template. We can walk through assignment, enrollment, attendance, payment, and document generation to assess fit. Discuss enabled modules, plan limits, and any specialized integrations before choosing a configuration.
Can COPS manage probation intake and discharge in one system?
Yes. Registration forms, packets, and custom intake fields start the client record; enrollments, attendance, and fees track supervision; and merge-tag templates generate completion or court letters at exit. Staff review the record before discharge paperwork is sent.
